Restaurants get more reviews than almost any other local business, and most of them fall into a few types: slow service, cold food, a wrong order, a bill dispute, or a glowing five-star review nobody answers. On Google, the reviewer is notified when you reply and can update their review afterwards (Google Business Profile Help). A fast, specific reply is the most reliable way to turn a two-star review into a four-star one.

Slow service

Waited an hour for our food on a Saturday

Hi [Name], I'm sorry about the wait on [day]. We were [short two cooks / slammed after a large party], and we should have told you at the table instead of leaving you guessing. We've since [added a cook on weekend nights / started telling guests about delays up front].

Keep illness replies this short. Don't deny it, don't admit fault, and don't suggest other causes in public. Record the date and dishes, and follow your local health department's reporting rules.

Mixed review

Great food but way too loud to talk

Thanks, [Name]. Glad the [dish] hit the spot. You're not the first to mention the noise on busy nights, and we're [adding sound panels / turning the music down after 8pm]. For a quieter table, ask for [the patio / the back room] when you book.

Reviews to flag rather than answer

If a review breaks Google's content policies, flag it from your Business Profile instead of replying (Google Business Profile Help). Examples include a review posted by a competitor or ex-employee, one that's about a different restaurant, or one containing harassment or hate speech. A genuine bad experience, even an unfair one, stays up, so answer it calmly.

Never post a guest's full name, payment details or anything private in a reply: replies are public.

Make each template sound like you

  1. Name the dish or the night. "The short rib on Saturday" proves you read it.
  2. Say what changed. A new check, a schedule change or a menu fix beats "we'll look into it."
  3. Sign it with a name. "[Name], general manager" reads as a person, not a tool.
