HVAC Review Response Templates: 11 Replies to Copy (2026)

HVAC reviews are written at the worst moment of a customer's week: the AC died in August or the furnace in January. The complaints repeat: the tech was late, the quote was high, the fix didn't last. These HVAC review response templates cover each one, plus five-star reviews. Every reply has a Copy button: paste it into Google, change the bracketed details, and post.

Change the details every time. Half of consumers are put off by replies that sound templated (BrightLocal, 2026).

Why HVAC review replies matter

Homeowners choosing an HVAC company in an emergency often pick from the map pack in minutes, reading reviews and replies as they go. From BrightLocal's 2026 Local Consumer Review Survey of 1,002 US adults (source):

FindingShare of consumers
Expect owners to reply to reviews89%
Likely to use a business that replies to all reviews80%
Unlikely to use a business that never replies42%
Want a same-day reply19% (up from 6% in 2025)
Expect a reply by the next day32% (up from 18% in 2025)
Will only use a business rated 4 stars or higher68%

Google notifies the reviewer when you reply, and they can update their review afterwards (Google Business Profile Help). For HVAC, where most complaints can be fixed with a return visit, that's a big deal.

HVAC review response templates for negative reviews

Each reply thanks the reviewer, names the problem, says what you'll do, and gives a direct line, not the main switchboard.

Technician showed up late or not at all

Waited all day and the tech never showed

Hi [Name], I'm sorry. Waiting all day with no call is unacceptable, and it's on us, not you. Our dispatcher should have called the moment the schedule slipped. We've since [added automatic text updates with the tech's arrival time].

Please call me directly at [phone] and I'll get you on the schedule first thing.

Price or quote too high

Charged way too much for a simple repair

Hi [Name], thanks for the feedback. Your invoice covered [the part, labor, our after-hours rate and a X-year parts warranty], but I understand it was more than you expected, and we should have walked you through it before starting.

I'm happy to go through every line with you. Please call me at [phone].

Repair didn't last

AC broke again two weeks after the repair

Hi [Name], I'm sorry your system failed again so soon. Our repairs carry a [X-day] warranty, so the return visit is on us.

Please call [phone] and mention this review. We'll send [a senior technician] out at the earliest slot.

Felt upsold on a new system

Tech pushed a full replacement I didn't need

Hi [Name], thank you for telling us. Our technicians should always give you the repair option alongside any replacement quote, and let you decide without pressure. I've reviewed this with our team.

If you'd like a second look at the repair option, I'll send someone out at no charge for the visit. Call me at [phone].

Mess left behind

Left dust and debris all over my attic and floors

Hi [Name], I'm sorry. Our standard is drop cloths, shoe covers and a full clean-up before we leave, and that clearly didn't happen. We'd like to send someone back to clean up properly.

Please call [phone] to set a time.

Emergency call wait

Took two days to come out with no heat

Hi [Name], I'm sorry you went without heat that long. The cold snap on [dates] brought in [three times] our normal call volume, but that doesn't make two days in a cold house OK. We've [added an on-call technician for nights and weekends during peak season].

If you're ever in that situation again, call [emergency phone] and ask for me.

Mixed review

Good work but hard to get anyone on the phone

Thanks, [Name], and glad the [install] went well. You're right about the phones: we were missing calls during busy hours. We've [added a second dispatcher / online booking at website] so you can reach us faster.

Honest advice

Tech fixed it instead of selling me a new unit

Thank you, [Name]. Honest advice is how we want every visit to go. If a repair is the right call, that's what we'll recommend. I'll pass this on to [tech first name].

Maintenance plan customer

Been on their maintenance plan for years

Thanks for sticking with us, [Name]! We appreciate your trust, and we'll see you at your next [spring tune-up].

Reviews to handle differently

  • Safety claims (gas smell, carbon monoxide, electrical damage): reply only to say you take it seriously and to ask them to call you directly, then involve your insurer. Don't argue about what caused it in public.
  • Reviews from non-customers: if you can't match the review to any job, flag it under Google's content policies from your Business Profile (Google Business Profile Help) before replying.

Never post a customer's address, invoice amount or anything else private in a reply: replies are public.

Make each template sound like you

  1. Use the job details. The unit, the date and the tech's first name prove you read the review.
  2. Say what changed. Text alerts, an extra dispatcher, a clean-up checklist.
  3. Offer something concrete. A free return visit beats "please reach out."
