Dental practices have a problem most businesses don't: the obvious reply to a review is often a HIPAA violation. These dentist review response templates are written to avoid it. None of them confirms the reviewer is a patient, names a procedure or mentions a date, cost or insurance plan. Every reply has a Copy button: paste it into Google, change the bracketed details, and post.

Change the wording each time, too. Half of consumers say they're unlikely to choose a business whose replies look generic or templated (BrightLocal, 2026).

The HIPAA rule for dentist review responses

The rule is short: a reply cannot disclose protected health information, and simply confirming that someone is your patient counts. It applies even if the reviewer posted their own treatment details first.

This isn't theoretical. In 2019, Elite Dental Associates of Dallas paid HHS's Office for Civil Rights $10,000 and accepted two years of monitoring. It had replied to Yelp reviews with patients' last names and details of their treatment, insurance and costs (HHS resolution agreement). HHS also found the practice had no policy on disclosures in social media.

Why reply at all, then? Because patients read the replies. In BrightLocal's 2026 survey of 1,002 US adults, 89% expect owners to reply to reviews, and 42% are unlikely to use a business that never replies (source).

Each negative reply does three things: thanks the reviewer, describes your policy or standard in general terms, and gives them a direct line to a named person.

One-line one-star review with no details

Notice what this one doesn't say: "we have no record of you." Saying a person isn't a patient is also a statement about patient status. Keep it neutral and identical to any other reply.

Five-star replies carry the same HIPAA rule. Thank the reviewer for something about the practice, never for something about their treatment.

Before you post: a five-point check

Read every reply against this list before it goes live:

  1. Does it say or imply the reviewer is (or isn't) a patient?
  2. Does it name a procedure, condition, medication or tooth?
  3. Does it mention a date, cost, insurance plan or balance?
  4. Does it use the reviewer's last name?
  5. Would you be comfortable with HHS reading it?

If any answer is yes to 1–4 or no to 5, rewrite it. Your compliance officer should own this check, and the practice needs a written policy for review replies. Elite Dental's lack of one was part of HHS's findings.
